About The Role

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our Business Operations team at The James and Gail Ellis School of Business Leadership. This vital role requires a professional with a warm demeanor who can serve as the primary point of contact within the Dean’s office, manage complex schedules, coordinate meetings, and facilitate administrative activities for the school. The successful candidate will play a key role in supporting the daily operations of the school, ensuring seamless communication and efficient management of resources. This position offers an exciting opportunity to contribute to a distinguished academic institution, supporting its mission to cultivate future business leaders and enhance educational excellence. The role also involves assisting with large-scale events, managing room and parking reservations, and handling various administrative tasks to uphold the high standards of the school’s operations.

Qualifications

  • High school diploma or GED required; a completed degree from an accredited institution is preferred.
  • Minimum of 5 years of experience in administrative support or related roles.
  • Proven track record supporting executive-level leadership and managing multiple calendars.
  • Strong organizational skills with effective project tracking methodologies.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to prioritize tasks effectively and meet deadlines.
  • Experience with purchase card and business purchasing processes preferred.
  • Ability to work collaboratively with individuals at various organizational levels.
  • Proficiency in using administrative software and systems, including EPAF for employment transactions.

Responsibilities

  • Serve as the primary point of contact for visitors, faculty, staff, and leadership within the Dean’s office, providing professional and courteous assistance.
  • Manage and maintain calendars for executive leadership, scheduling appointments, meetings, and events.
  • Coordinate facilities usage, travel arrangements, and large-scale event logistics.
  • Enter employment transactions through the EPAF system accurately and timely.
  • Oversee purchasing activities for the college, including self-assigning tasks via the queue system.
  • Manage room and parking reservations for the Ellis School of Business Leadership.
  • Assist with administrative activities related to school-sponsored events and programs.
  • Perform miscellaneous administrative duties as assigned to support operational efficiency.
