About the role
Reporting to the Associate Director of Admissions Services, the Administrative Coordinator supports the operational and administrative functions of the Admissions Office and serves as a central point of coordination for student-facing services. The position assists in ensuring efficient front desk operations, administrative workflow, and office logistics that support recruitment activities, application processing, and general student service delivery.
Responsibilities
- Coordinate front desk operations and serve as the primary point of contact for prospective students, applicants, and visitors;
- Coordinate daily administrative functions to ensure efficient workflow within the Admissions Office;
- Provide general information regarding admissions procedures, application processes, and student services; respond to general inquiries via phone, email, and in-person visits;
- Assist with managing student service flow and visitor check-in processes within the Admissions Office;
- Prepare, copy, assemble, and distribute admissions materials, informational packets, and office documentation;
- Maintain office records, files, and departmental databases to ensure accuracy and accessibility;
- Assist in preparing administrative reports, spreadsheets, and internal documentation as needed;
- Update and maintain records within university systems and internal tracking documents;
- Support admissions workshops, information sessions, and events through administrative coordination and preparation of materials;
- Coordinate office supply inventory and ordering to ensure the office is appropriately stocked; assist with coordination of office equipment and operational needs;
- Assist with coordination of departmental initiatives, recruitment activities, and special projects that support Admissions operations and student engagement;
- Contribute to maintaining a professional, organized, and student-centered office environment.
Qualifications
- Bachelor's Degree required.
- Preferred: Experience supporting administrative or office operations, preferably in a higher education or student services environment.
- Preferred: Experience working in a high-volume, student-facing or customer service setting.
- Preferred: Strong organizational skills with the ability to manage multiple tasks in a fast-paced office environment.
- Preferred: Proficiency in Microsoft Office applications (Word, Excel, Outlook).
- Preferred: Experience coordinating office logistics such as front desk operations, materials preparation, or supply management.
- Preferred: Demonstrated ability to work effectively with diverse populations.
- Preferred: Bilingual ability (Spanish strongly preferred).
Pay
$48,647 – $50,500; salary commensurate with education and experience.
