About the Role

The Administrative Coordinator – Club Operations will provide a wide range of administrative support to the club team at Pier Sixty-Six Resort. This role includes coordinating meetings and events, travel planning, managing schedules, preparing presentations and documents, and handling general correspondence. The position also leads and coordinates administrative duties and office procedures for the Club, serving as the point person for all office-related matters.

Responsibilities

  • Manage the day-to-day operations and procedures of the Pier Sixty-Six Club office.
  • Liaise with cross-functional areas of the organization, serving as the point person for all office-related matters, including supplies, technology, and office maintenance.
  • Partner with the Operations team to create and maintain an engaging work environment and office policies, while managing the office budget.
  • Track and process invoices for the office.
  • Greet visitors, answer incoming telephone calls, and schedule meetings.
  • Facilitate guest requests and amenities to ensure guest satisfaction.
  • Manage the Club General Manager’s calendar, including professional activities, expenses, meetings, and events.
  • Maintain communication with key internal and external business partners (e.g., answer telephones, screen/redirect calls, and handle routine matters).
  • Maintain contact information of business associates and track meetings with key stakeholders.
  • Handle all travel arrangements, including compiling itineraries, coordinating details, and managing expense reports for the Club Executive team.
  • Arrange airline reservations, hotel accommodations, and rental cars as needed.
  • Ensure office equipment is functional and maintain office supplies.
  • Handle routine matters such as mail, couriers, and photocopying.
  • Maintain confidentiality of proprietary and sensitive business information.
  • Maintain records for the Operations office and assist with special projects as needed.

Requirements

  • Professional and courteous attitude; well-organized and detail-oriented.
  • Excellent communication skills, both verbal and written.
  • Ability to work independently, take initiative, and use sound judgment.
  • Strong relational skills to support professional interaction with internal and external partners at all levels.
  • Ability to work well under pressure and manage multiple tasks within time constraints.
  • Competency with general office equipment.
  • Ability to handle confidential information.
  • Minimum of 2 years of senior administrative experience and/or office management experience in a large, professional environment.
  • Luxury hotel environment experience preferred.
  • Advanced-level knowledge of Outlook, Microsoft Word, and PowerPoint; strong working knowledge of Microsoft Excel.
  • Advanced aptitude for learning new computer applications.
