This position reports to the Principal and is classified as non-exempt/hourly, with up to 40 hours per week and flexibility for some nights and weekend activities.

Position Overview

The Administrative Assistant provides overall structure and administrative support in the day-to-day operations of the school. Handle office and administrative duties in an efficient and service-oriented manner.

Responsibilities

  • Operations
    • Open the school daily and ensure all office equipment is ready for the school day.
    • Provide oversight to students who arrive prior to the start of the school day, if necessary.
    • Screen all individuals entering the facility to maintain a safe school environment and ensure only authorized personnel enter.
    • Document the school meal program.
    • Coordinate with van service to ensure driver attendance and process expenses related to van service (e.g., gas, maintenance).
    • Serve as the point of contact for school first aid needs for students.
  • Administrative
    • Provide general administrative support to the Principal and others in the school, as necessary.
    • Draft and generate correspondence as needed.
    • Answer school phones and receive visitors to resolve questions and inquiries.
    • Ensure all attendance is entered electronically and imported before 9:00 A.M. daily.
    • Organize student tardy and excused absence records.
    • Manage the collection, tracking, and depositing of all school-related funds, including chapel, fundraisers, field trips, uniforms, gas, and donations.
    • Work with the LUMIN Director of Compliance on administrative tasks associated with the WI DPI School Choice program.
    • Assist in the registration and auditing process, as applicable.
    • Provide administrative and enrollment packets to students each year and ensure accurate completion and retention of all paperwork.
    • Send out student welcome letters and the annual calendar.

Requirements

  • High school diploma or equivalent required; some post-high school coursework in a related field is desired.
  • Experience in an office environment handling a variety of tasks.
  • Proficient computer skills, particularly with Microsoft products, Google apps, Skyward (Student Information System), and email.
  • Ability to effectively perform administrative tasks and operate basic office equipment.
  • Experience handling and tracking money, with an understanding of basic accounting and bookkeeping.
  • Friendly, outgoing personality to provide service and assistance to parents, students, faculty, and external visitors.
  • Ability to maintain confidentiality and work professionally with a diverse population of children, youth, and adults.
  • Ability to establish rapport with youth, parents, and staff while maintaining appropriate boundaries.
  • Excellent communication skills and ability to work in multiple settings and environments.

Working Conditions

  • Work in a high-paced environment with multiple interruptions during the workday.
  • Perform duties in a school environment.
  • Willingness and ability to be outside with students during recess/breaks as needed.
  • Ability to sit and stand for long periods depending on the task.
  • Ability to efficiently transition between tasks and take direction from others during a normal workday.
