About the Role

The Administrative Assistant role at Emory University is a vital support position responsible for providing comprehensive administrative assistance within a dynamic environment. This role supports general management, research activities, or specific programs by managing schedules, coordinating meetings, handling correspondence, and maintaining records. The Administrative Assistant ensures the smooth operation of office activities in compliance with university policies and procedures. The position offers an opportunity to work in a collaborative setting, utilizing various collaboration tools and office software to facilitate effective communication and organization. Flexibility in work arrangements, including the possibility of remote work, is available based on departmental needs. Responsibilities

  • Provide administrative support for management, research environments, or specific programs
  • Ensure office activities adhere to Emory policies and procedures
  • Respond to incoming telephone calls and manage correspondence
  • Maintain calendars, schedule meetings, and prioritize meeting requests
  • Review incoming correspondence, identify items of interest, and prepare responses
  • Complete forms, grant applications, and related documentation
  • Prepare charts, graphs, reports, and presentations for departmental use
  • Coordinate logistics for meetings, workshops, and special events
  • Prepare materials and agendas for meetings and events
  • Initiate, process, and maintain records, invoices, and expense reports
  • Monitor budgets, assist with budget development, and track expenditures
  • Coordinate travel arrangements and accommodations for staff and visitors
  • Maintain and analyze databases and spreadsheets, generating reports as needed
  • Establish and organize filing systems and document management protocols
  • Oversee procurement and inventory of office supplies
  • Supervise or support support staff and student workers as assigned
  • Perform additional duties as required to support departmental operations

Qualifications

  • Bachelor's degree or an equivalency of a high school diploma with at least five years of relevant administrative experience
  • Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, and Excel
  • Experience with collaboration tools such as OneDrive, Zoom, Teams, or similar platforms
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Ability to handle multiple priorities and work independently or as part of a team
  • Attention to detail and problem-solving skills
  • Residency in the state of Georgia is mandatory
