Administrative Assistant - Payroll and Field Operations

Responsibilities

  • Provide assistance to Payroll department on a specific project for part of the day
  • Answer and direct phone calls in a polite and professional manner
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails
  • Schedule and coordinate inspections for field operations
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Perform data entry tasks, such as entering, updating, or retrieving data from systems
  • Manage and maintain files, records, and documents

Requirements

  • Proven experience as an administrative assistant or relevant role
  • Knowledge of clerical procedures and systems such as filing and record keeping
  • Excellent transcription skills
  • Proficient in computerized systems such as Microsoft Office Suite (Word, Excel, PowerPoint)
  • Familiarity with Quick Books/ADP Workforce is a plus
  • Strong customer support skills with the ability to handle inquiries and provide accurate information
  • Strong organizational skills with the ability to multitask effectively
  • Excellent verbal and written communication skills
  • Strong attention to detail

Qualifications

Must have a high school diploma or equivalent.
