About the role

Performs a variety of technical administrative office support work for the Yakama Nation Nak Nu We Sha (NNWS)/Kinship program. Responsible for setting up and initiating an extensive electronic confidential record management system for NNWS and Kinship files. Follows program procedures and guidelines in the disposition of confidential files. Works with all staff to ensure accurate preparation of documents.

Responsibilities

  • Answer, direct, or forward general phone inquiries in a professional and courteous manner.
  • Reply to general information requests with accurate information.
  • Greet visitors to the organization in a professional and friendly manner.
  • Ensure the efficient day-to-day operation of the office by providing clerical office support with processing and organizing workflow.
  • Assist with preparing casework documents and client files.
  • Support the work of supervisor/management and other staff.
  • May be required to work some overtime hours if necessary.

Requirements

  • High School Diploma or GED.
  • Two years of work experience as an Office Assistant V or Bookkeeper III.
  • Pass pre-employment drug test.
  • Pass pre-employment criminal background check.
  • Maintain strict confidentiality.
  • Must have Notary license or ability to obtain within 30 days of hire.
  • Valid Washington State Driver’s License with the ability to obtain a Yakama Nation Driving permit.
  • Valid First Aid/CPR card or ability to obtain one within 6 months of hire.

Skills & Knowledge

  • Knowledge of Yakama tribal Culture and Traditions.
  • Knowledge and understanding of Privacy Act requirements.
  • Knowledge of principles and practices of English grammar, punctuation, and spelling.
  • Knowledge of filing principles and procedures; file information alphabetically, numerically, and chronologically.
  • Knowledge of Indian Child Welfare Act.
  • Knowledge of Washington State Department of Children, Youth & Family Services.
  • Knowledge of Yakama Nation Personnel Policy Manual, Finance Manual, and Purchasing Manual.
  • Knowledge of general administrative policies, procedures, and practices of the Yakama Nation and federal government, including some record keeping.
  • Computer literacy in using standard office equipment and business software.
  • Effective oral and written communication skills.
  • Ability to apply extensive or obscure guidelines to a wide variety of work situations.
  • Ability to establish and maintain effective working relationships with the public, clientele, tribal and state agencies, management, staff, and elected officials.
  • Ability to use Isolved for processing timekeeping and bookkeeping.
  • Ability to work in financial software systems and database management systems.
  • Dependable work attendance.
  • Ability to work independently and productively with minimal supervision.
  • Ability to multi-task and prioritize work assignments to meet daily program needs.
  • Ability to conduct research and provide assistance in preparation for program events relative to the mission of the program.
