Provide complex administrative support for Bureau/Department staff and leadership. Function as a technical administrative resource in matters requiring extensive knowledge of the rules, regulations, objectives, and protocols of the Bureau/Department. Act as a point of contact or liaison to bridge issues of common concern between department staff, management, and support operations. Oversee confidential records, assist in the formulation and interpretation of policy, set procedure, and manage itineraries, schedules, and agendas. Coordinate the activities of the department's clerical staff. Ensure confidentiality of Bureau/Department information.

Responsibilities

  • Provide complex administrative support for Bureau/Department staff and leadership.
  • Act as a technical administrative resource in matters requiring extensive knowledge of Bureau/Department rules, regulations, objectives, and protocols.
  • Serve as a point of contact or liaison between department staff, management, and support operations.
  • Oversee confidential records and ensure their security.
  • Assist in the formulation and interpretation of policy and set procedures.
  • Manage itineraries, schedules, and agendas.
  • Coordinate the activities of the department’s clerical staff.
  • Perform specialized and complex administrative and customer service tasks.
  • Lead lower-level team members by providing complex administrative and clerical support.
  • Work independently to fulfill complicated customer service requests and build effective relationships.
  • Analyze problems and recommend solutions based on organizational policies and procedures.

Requirements

  • Possession of a High School Diploma or General Education Development (GED) Certificate.
  • Four (4) years of administrative, clerical, or operations role or directly related experience.
  • An equivalent combination of education and/or experience may be accepted.
  • Original required documents (e.g., current driver’s license, diploma, school transcript, certifications) must be produced within five (5) days of a written offer.
  • Degrees awarded outside of the United States, except those from U.S. territories and Canada, must be credentialed by WES, ECE, or a NACES member organization.

Skills

  • Knowledge of Microsoft Office Suite and other software applications.
  • Ability to learn new technologies for data entry, calendar management, and report creation.
  • Skill in troubleshooting and working independently.
  • Strong time management, organization, customer service, and written/verbal communication skills.
  • Knowledge of administrative procedures.
  • Ability to lead and provide complex administrative support to lower-level team members.
  • Ability to work independently to fulfill customer service requests and build relationships.
  • Knowledge of specific organizational policies and procedures to answer complex administrative questions and recommend solutions.

Pay

$77,107 - $85,130/YEARLY

Veterans who meet the minimum qualifications and provide a copy of their DD 214, DD 215, or NGB 22 (Notice of Separation) at the time of application filing receive preference in the application process. The Cook County Department of Veterans Affairs can assist with obtaining a certified DD214 at no charge (veterans.affairs@cookcountyil.gov).

This position requires successful completion of post-offer tests, including a background check, drug screen, and medical examination. Falsification of application information may result in disqualification, dismissal after hire, or placement on the County’s Ineligible for Rehire List for two (2) or five (5) years.
