About the role

The City of Phoenix Street Transportation Department is seeking an Administrative Assistant II to support the Development and Utility Coordination Section. This section leads, manages, and provides oversight for private development projects throughout the city, from zoning and entitlement review through construction permitting. It also handles plan review and inspection for city-sponsored Capital Improvement Projects (CIP), bond-funded projects, and private utility provider deployments utilizing the public right-of-way.

This position will support a Deputy Director and three Special Projects Administrators in daily tasks, including scheduling, Legistar creation, purchasing, hiring, and HR coordination. The role involves conducting research and studies related to Division operations, recommending enhancements and efficiencies, and assisting the Deputy Director in implementing policy and procedural changes.

Ideal Candidate

  • Knowledge of Legistar software, HR standards and protocols, and procurement processes and contract administration duties.
  • Ability to take initiative to continuously improve administrative processes, work collaboratively with others, and write reports clearly and concisely.

Responsibilities

Requirements

  • Bachelor's degree in public or business administration or a related field.
  • Three years of professional experience in public administration, governmental research, or finance.
  • Other combinations of education and experience that meet the minimum requirements may be substituted.
  • All finalists are subject to a criminal background check applicable to the department or position.
  • Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license, and have an acceptable driving record.

Preferred Qualifications

  • Master's degree in public or business administration or a related field.
  • Supervisory or lead experience.
  • Experience with process improvement, Microsoft Office Suite, Legistar meeting management software, report writing, meeting notes, SAP and SRM, hosting virtual meetings, supporting executive-level management, continuous improvement/LEAN methodology, document management systems, making presentations, and managing budgets, procurement processes, and contract management in government or large business.

Pay

Pay Range: $67,516.80 to $109,969.60 annually.

Hiring Range: $67,516.80 to $104,728 annually.

The actual salary offer will carefully consider a wide range of factors, including skills, qualifications, experience, education, licenses, training, and internal equity.
