  • Required: Bachelors Degree in related field
  • Preferred: Bachelors Degree in related field

Experience Qualifications

  • 5 years secretarial/administrative or equivalent acceptable experience

Skills Qualifications

  • Demonstrated skills in oral and written communication
  • Demonstrated skills in organization and problem solving
  • Accurate typist
  • Proficiency in word-processing, graphics, and spreadsheets with experience using Microsoft Office and Lotus Notes
  • Ability to record and issue minutes of meetings
  • Strong calculator and mathematical skills
  • Ability to follow oral and written instructions quickly and accurately
  • Ability to detect and correct errors in standard English language usage
  • Excellent telephone and public relations skills
  • Knowledge of state and local governmental operations
  • Ability to analyze existing processes and identify areas for improvement
  • Ability to act as a representative of Gwinnett County Public Schools
  • Ability to work across functional boundaries and interact with employees at all levels of the organization

Primary Responsibilities

  • Provide general administrative and clerical support to the Cluster Superintendents of School Operations and Support and assist with functions and activities associated within the School Improvement and Operations Division.
  • Perform general administrative support duties.
  • Maintain an accurate schedule of activities for supervisor and keep him/her informed of schedule.
  • Prepare various minutes, reports, work order, memoranda, and purchase orders as needed to maintain the efficient and effective operation of the office to which assigned.
  • Develop spreadsheets, graphs, charts, and presentation documents.
  • Perform general clerical duties.
  • Maintain an effective and efficiently run office.
  • Apply software and technology appropriately to produce quality documents and materials.
  • Manage time effectively by streamlining routine tasks.
  • Communicate with other people in a businesslike, courteous, and efficient manner.
  • Act as department receptionist both in person and over telephone.
  • Ensure that correspondence and other paperwork sent from the office conforms to standard English usage.
  • Utilize telecommunication equipment courteously in the efficient operation for the department.
  • Route incoming and outgoing correspondence accurately.
  • Establish effective public relations among internal and external audiences.
  • Represent the division professionally in all aspects of communication.
  • Aid the public graciously and effectively.
  • Aid public requesting information with appropriate division personnel.
  • Cooperate with and maintain a positive relationship with other divisional employees.
  • Cooperate with and maintain a positive relationship with other school system employees.
  • Assist with new projects as assigned.
  • Perform other duties as assigned.

Physical Demands

  • While performing the duties of this job, the employee is frequently required to sit for extended periods of time.
