About the Role
The Legal Administrative Assistant plays a vital role in supporting our Client Legal Services attorneys by providing comprehensive administrative and operational assistance. The primary focus of this position is to support insurance defense litigation matters through meticulous management of case-related data, including pleadings, motions, and correspondence related to trial, arbitration, and mediation. The assistant will handle calendar management, scheduling litigation events, and supporting case workflows with accuracy and adaptability. This role requires strong external communication skills, attention to detail, and the ability to manage multiple priorities effectively. The successful candidate will work closely with legal professionals to ensure seamless case progression and compliance with procedural requirements within the Texas court system.
Qualifications
- 2–3 years of administrative experience in a legal, insurance, or professional services environment
- Experience supporting litigation activities, including scheduling and case coordination
- Working knowledge of legal terminology, civil litigation processes, and case management systems
- Familiarity with Texas courts and local procedures
- Knowledge of court approval processes and Texas court system considered a strong plus
- Proficiency in Microsoft Office 365, including Excel and other relevant tools
- Excellent organizational, communication, and problem-solving skills
- Ability to handle confidential information with discretion
- Strong attention to detail and ability to prioritize competing tasks
Responsibilities
- Monitor and maintain compliance within the Litigation Management System (Team Connect)
- Accurately enter, update, and manage case data, including pleadings, motions, discovery, and correspondence
- Coordinate and manage calendars for hearings, depositions, mediations, and other litigation events
- Prepare, track, and maintain case files and documentation in accordance with established procedures
- Communicate professionally and effectively with internal teams and external contacts to facilitate case progression
- Make basic case support decisions within defined guidelines under attorney supervision
- Manage multiple priorities and adapt to changing workflows in a fast-paced litigation environment
- Handle sensitive and confidential information with integrity and discretion
- Perform tasks efficiently, accurately, and within specified timelines to support legal operations
