Administrative Assistant II
About the Role
The Division of Women’s Health in the Department of Medicine (DOM) at Mass General Brigham works with faculty across all hospital divisions and departments to advance the knowledge and understanding of women’s health and sex differences in health and disease. This role supports the Division’s mission of leading state-of-the-art clinical care, research, education, and advocacy to improve women’s health.
Under the general direction and supervision of the Administrative Manager, the Administrative Assistant II (AAII) provides front-line support for the Division and performs general administrative duties. This position requires a high degree of organization, the ability to prioritize assignments, and the use of judgment and discretion in handling confidential and sensitive matters.
This is a hybrid role, with 4 days in-person (split between the MGB Assembly Row office and BWH Longwood office) and 1 day remote.
Responsibilities
- Prepare reports, meeting minutes, and correspondence.
- Create and edit documents, spreadsheets, and presentations.
- Manage schedules, arrange appointments, and coordinate itineraries.
- Coordinate meetings, travel, conference calls, and complete expense reports.
- Answer and transfer phone calls.
- Perform transcription and proofread/edit literature; prepare applications for the department.
- Remain knowledgeable of business unit policies.
- Handle contacts of a sensitive, complex, and confidential nature.
- Complete routine tasks under moderate supervision.
Qualifications
- High School Diploma or equivalent (required).
- Baccalaureate degree (preferred).
- 2-3 years of Administrative Assistant experience (required).
- Experience working in medical or related fields (preferred).
Skills
- Highly detail-oriented with strong organizational skills and an appreciation of time pressures.
- Outstanding, professional, and effective written and oral communication skills.
- Ability to articulate and receive information clearly, concisely, and in a timely manner.
- Proficiency with office procedures and equipment (filing, copying, scanning, printing).
- High proficiency in MS Office.
- Ability to proofread and edit written documents.
- Experience using phone systems.
- Strong time management skills, including managing one's own time and the time of others.
- Strong interpersonal skills.
- Familiarity with medical terminology.
Schedule
- Hybrid: 4 days in-person (split between MGB Assembly Row and BWH Longwood offices), 1 day remote.
- Scheduled weekly hours: 40.
- Work shift: Day.
Pay
Pay range: $18.58 - $26.58/hour (Grade 3).
