Administrative Assistant (Full-time days with alternating weekends)
About the role
The Administrative Assistant supports an individual or department with clerical duties and tasks, including answering phones, composing correspondence, and preparing reports. They also coordinate day-to-day operations, assist with scheduling, and handle client complaints.
Responsibilities
- Answer telephones and route calls as necessary
- Sort and prioritize mail
- Compose correspondence and gather reports as needed
- Ensure front desk operations, including screening calls and visitors
- Coordinate and monitor day-to-day operations such as client appointments, transportation, milieu monitoring by BHT's, client requests, client sign-in sheets, vehicle maintenance and logs, and maintenance issues
- Maintain accurate census including admissions/discharges
- Prepare reports as directed by the Director
- Schedule team and individual meetings
- Order and track office supplies
- Coordinate COB’s, insurance verification, and proof of payments as directed by the Business Office
- Liaise with the Business Office to collect OP client payments
- Maintain office security by opening and locking the building
- Handle lunch pickups and client appointments
- Maintain the CARF safety manual and schedule/schedule safety drills
- Aid in the scheduling of BHT staff/assignments
- Handle client issues related to transfers from residential
- Collect and distribute client and program mail
Requirements
- Equivalent combination of education and experience in administrative assistant roles
- Two years of administrative assistant experience
- Advanced ability to read and interpret written information and write clearly and informatively
- Ability to speak clearly and persuasively in positive or negative situations, listen, and present effectively
- Advanced knowledge of Microsoft Word, Excel, and Outlook
