ADMINISTRATIVE ASSISTANT (FULL TIME)
Job Summary
You will work cross-functionally with multiple teams. The ideal candidate should be professional, detail-oriented, enthusiastic, a solid communicator, and dependable. The candidate must be flexible and extremely organized to execute a successful customer experience.
Role and Responsibilites
- Provide a “Friendly and Welcoming” Environment to all guests of the Experience Center.
- Greet and guide guests to their meeting location and assist with any ad hoc requests throughout the day.
- Support Experience Center team members to ensure smooth and timely delivery of customer and partner meetings and events and deliverables.
- Monitor and respond in a timely manner to inquiries in the Experience Center site outlook mailbox.
- Manage the reservation entries in the Experience Center booking system, confirming and changing requests as needed based on availability.
- Register visitors in the client Visitor Management System and coordinate name tags as necessary in advance of meetings.
- Prepare meeting rooms daily with any requested materials (agendas, security badges, customer gifts, etc.); submit tickets with facilities for any room set up requirements in advance of meetings.
- Serve as main point of contact for sales teams and EC staff members for any “day-of” needs or changes to meetings in progress.
- Cooking logistics for guests such as transportation, dinners, and entertainment as requested.
- Meet and greet with company employees, customers and partners throughout events.
- Manage catering needs by working with internal caterers to ensure an elevated culinary experience.
- Take the lead in planning, arranging, and executing logistics requirements for customer and partner events.
- Fill in for other Experience Center roles as needed based on staffing levels.
- Assist with reports such as monthly charging reports and weekly facility and catering reports.
- Manage inventory of customer gifts.
