About the Role
We are actively hiring an Administrative Assistant/Front Desk Receptionist to support our Bowie, Maryland site. This is an onsite, non-exempt position with a Monday-Friday day shift (40 hours per week).
Compensation: $24 to $26 per hour (depending on experience).
Purpose
To assist in the administrative activities conducive to the flow of operations and business at Flourish Research. To provide administrative support to all departments and to management as needed to facilitate the smooth operation of business at Flourish Research. All responsibilities should be completed in accordance with Flourish Research's core values and Employee Manual.
Responsibilities
- Communicate in an effective, appropriate, and courteous manner during all interactions with sponsors, physicians, physicians' office personnel, patients, Flourish Research employees, contract personnel, and any other individuals.
- Greet patients, monitor their arrival, and notify respective study coordinators.
- Maintain confidentiality of information relating to subjects, protocols, and contracted entities.
- Answer phones, forward messages, and relay pertinent information to staff in a timely manner.
- Maintain written records of all incoming phone calls from subjects, sponsors/CROs, and other study-related communications to ensure clear and efficient communication.
- Provide error-free document creation and revision support to study coordinators, regulatory department, Operations Manager, and other staff as requested.
- Distribute incoming mail and faxes to appropriate staff.
- Update various lists and logs periodically, as directed.
- Assist the regulatory department with CV/resume creation and updates, filing, copying, etc.
- Accurately file documents within subjects' charts/files, sponsor regulatory binders, and departmental files as requested.
- Conduct follow-up phone calls to remind subjects of upcoming visits as requested.
- Schedule subjects' visits and procedures as instructed by Team Leads, Managers, Director of Clinical Research, and other leadership team members.
- Perform all duties in a time- and cost-effective manner.
- Represent Flourish Research in a professional and courteous manner (verbal, written, and in appearance) when interacting with all staff, clients, and vendors.
- Additional duties as assigned by management.
Physical Requirements
- Work is normally performed in a typical interior clinical/office work environment.
- Local travel required.
- Ability to sit for extended periods.
- Ability to work in a call center environment with occasional distractions and noise.
- Extensive computer use.
- Ability to properly lift thirty-five pounds and occasionally more than thirty-five pounds.
Requirements
- Bachelor's degree or adequate experience as an administrative assistant.
- 1-3 years' experience within the field of clinical or biological research preferred.
Skills
- Demonstrated ability to collaborate and align with operations.
- Excellent oral and written communication skills.
- Excellent computer skills, including Office365 products.
- Strong problem-solving, risk assessment, and impact analysis abilities.
- Demonstrated experience in process improvement.
- Flexible and able to multi-task and prioritize competing demands.
