About the role
The Seattle Front Desk Administrative Assistant plays a crucial supportive role in representing Stantec's brand and ensuring smooth operations within the office.
Responsibilities
- Ensures organization and cleanliness of the lobby, kitchen/cafe, conference rooms, and storage areas.
- Schedules, tracks, and assigns meetings and conference rooms for clients and staff.
- Maintains inventory of office and kitchen supplies.
- Assists with incoming and outgoing mail and deliveries.
- Coordinates lunch and learn seminars with industry vendors.
- Supports travel arrangements and expense reporting for staff.
- Led planning and logistics for internal and external staff/office events.
- Provides administrative support to office staff as needed.
- Handles special projects in support of firm objectives as requested.
Requirements
- Ability to multi-task and communicate well.
- Highly organized, detail-oriented, resourceful, and dependable.
- Proficiency with MS Office Suite, especially Teams, Outlook, Word, Excel, and SharePoint.
- Positive, can-do attitude.
- Service-oriented.
- Comfortable learning and using new technology.
- Professional, polished appearance and demeanor.
- Able to work both collaboratively and independently.
Qualifications
- High school diploma required.
- One year experience in a professional office environment.
- Certification or Associate degree from a technical school or college in a related field, or equivalent combination of education and experience preferred.

- Strong organizational and multitasking abilities.
- Detail-oriented and resourceful.
- Proficient in Microsoft Office Suite.
- Ability to handle multiple tasks simultaneously.
