About the role

The Seattle Front Desk Administrative Assistant plays a crucial supportive role in representing Stantec's brand and ensuring smooth operations within the office.

Responsibilities

  • Ensures organization and cleanliness of the lobby, kitchen/cafe, conference rooms, and storage areas.
  • Schedules, tracks, and assigns meetings and conference rooms for clients and staff.
  • Maintains inventory of office and kitchen supplies.
  • Assists with incoming and outgoing mail and deliveries.
  • Coordinates lunch and learn seminars with industry vendors.
  • Supports travel arrangements and expense reporting for staff.
  • Led planning and logistics for internal and external staff/office events.
  • Provides administrative support to office staff as needed.
  • Handles special projects in support of firm objectives as requested.

Requirements

  • Ability to multi-task and communicate well.
  • Highly organized, detail-oriented, resourceful, and dependable.
  • Proficiency with MS Office Suite, especially Teams, Outlook, Word, Excel, and SharePoint.
  • Positive, can-do attitude.
  • Service-oriented.
  • Comfortable learning and using new technology.
  • Professional, polished appearance and demeanor.
  • Able to work both collaboratively and independently.

Qualifications

  • High school diploma required.
  • One year experience in a professional office environment.
  • Certification or Associate degree from a technical school or college in a related field, or equivalent combination of education and experience preferred.

Skills

  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Detail-oriented and resourceful.
  • Proficient in Microsoft Office Suite.
  • Ability to handle multiple tasks simultaneously.
