Responsibilities
- Provide office support, including: maintaining files, ordering office supplies, handling incoming and outgoing mail, and assisting with shipping.
- Support team members with accurate, timely expense reports and detailed travel arrangements.
- Handle mail distribution and assist with document preparation (scanning, emailing, copying, etc.).
- Send out notices and schedule resident recertification appointments.
- Manage building access, employee badges, and onboarding support for new team members (both in-office and remote).
- Obtain work orders from residents and document the work orders appropriately.
- Aid in collecting documentation from residents for recertifications.
- Aid in department operations, including: creating department check requests, filing paid invoices, preparing organizational charts and presentations, booking meetings and setting up conference rooms.
- Greet visitors, answer phones, and ensure everyone who walks through our doors feels welcome.
- Complete special projects as needed.
- High school diploma or GED equivalent.
- Less than 1 year of relevant work experience.
- Complete CHA Yardi Training within 120 days.
- Basic familiarity with computer systems and web-based applications.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- A welcoming, can-do attitude and a professional presence.
- Proficient with Microsoft Office applications: Excel, Word, Outlook, and PowerPoint.
- Knowledge of OrgPlus 4.0.
- Experience with affordable housing.
- Experience working with Chicago Housing Authority.
