About the role
The Administrative Assistant is a full-time, non-exempt position based in our Kansas City, MO office. The role provides support to the firm in a variety of areas, including daily backup receptionist responsibilities, legal support to Legal Administrative Assistants, Paralegal Assistants, and Paralegals, expense processing for our C-Suite, and project assistance for shared services departments.
Schedule
Monday–Friday, 8:30 AM–5:00 PM (37.5 hours per week, in-office daily).
Responsibilities
- Handles daily backup receptionist responsibilities in the Kansas City office, including coverage of breaks and end-of-day coverage.
- Provides full-day receptionist desk coverage for vacations and other time off.
- Performs receptionist duties: answering phones, greeting clients, and booking conference rooms.
- Occasionally handles backup receptionist responsibilities for the Overland Park office.
- Supports Legal Administrative Assistants, Paralegal Assistants, and Paralegals by completing overflow assignments across multiple practice groups.
- Assists with preparation of legal and administrative documents, including drafting, formatting, proofreading, bookmarking PDFs, and creating indices and tables of contents.
- Organizes, indexes, and maintains electronic and physical client files and materials in accordance with firm policies.
- Assembles, labels, tabs, and organizes binders, closing books, trial notebooks, and other client or court materials.
- Coordinates routine scheduling, meeting logistics, travel arrangements, and calendar management as assigned.
- Assists with various administrative tasks, including attorney time entry, expense reports, and new client matter requests.
- Provides office service and/or facilities support, including filing, copying and scanning documents, and processing outgoing mail and overnight deliveries.
- Processes expense allocations for employee Connect groups, C-Suite members, and Senior Office Administrator.
- Assists various shared services departments with projects.
- Logs daily projects on a weekly report indicating tasks assigned and duration of project.
- Prioritizes multiple assignments, adapts to changing priorities, and meets deadlines in a fast-paced environment.
- Demonstrates initiative by seeking opportunities to develop legal administrative skills and progressively assume more complex assignments.
- Performs other duties as required.
Requirements
- 1–2 years of experience in a professional office setting is preferred; receptionist experience is a plus.
- High School Diploma or equivalent.
- Strong organizational and clerical skills.
- Basic computer skills; familiarity with Microsoft Office is a plus.
- Ability to deliver superior service to all internal and external customers and communicate effectively.
- Ability to interact professionally and courteously with clients.
- Ability to work collaboratively within a team.
- Flexibility to adapt to changing business demands while remaining calm under pressure.
Physical Requirements
- Position generally involves walking or standing for significant periods of time.
- Ability to occasionally or routinely lift 20 to 40 lbs.
- Ability to talk and hear.
- Ability to perform repetitive motions.
- Ability to sit, stand, and walk.
- Ability to reach, lift, climb, balance, stoop, and crouch.
- Ability to see and read PC screens; detect color coding, read fine print, and/or normal type size print.
Pay
Starting hourly rate for this position is expected to range between $25.00–$29.00, depending on skills, qualifications, and experience.
