Responsibilities
- Manage front desk activity by welcoming visitors, directing calls, handling guest access, and creating a positive first impression for the office.
- Organize calendars, reserve meeting spaces, arrange video meetings, and support event logistics to ensure schedules and gatherings run efficiently.
- Prepare, revise, and proofread business documents, reports, and correspondence while maintaining accurate office records and files.
- Process routine administrative transactions such as invoices, expense submissions, reimbursements, and other support requests in a timely manner.
- Oversee mail, packages, shipping activity, and supply inventory for office, kitchen, and shared workspace areas.
- Cook with vendors and building support teams to address maintenance needs, service requests, repairs, and general facility upkeep.
- Set up conference rooms, arrange refreshments or catering, and help maintain clean, organized reception and common areas.
- Provide assistance with scanning, printing, filing, and electronic document organization while following confidentiality and document handling standards.
- Support workstation readiness and general office preparation for new hires, internal projects, and day-to-day operational needs.
Requirements
- A high school diploma or equivalent required; an associate degree is preferred.
- At least 3 years of experience in administrative support, office coordination, reception, or customer-facing office services.
- Strong working knowledge of Microsoft Office applications and comfort using standard office equipment and workplace technology.
- Ability to manage multiple priorities, stay organized, and complete tasks accurately with close attention to detail.
- Clear written and verbal communication skills with a detail-focused and customer-focused approach.
- Demonstrated ability to work independently while collaborating effectively with colleagues across the office.
- Discretion in handling sensitive information and commitment to maintaining confidentiality.
- Valid driver’s license and reliable transportation may be required.
