Supports an individual, group, or department with administrative duties including report preparation, meeting minutes, correspondence, document creation, schedule management, travel coordination, and expense reporting. Handles sensitive and confidential information and may serve one or more professionals, division heads, officers, or managers.
Responsibilities
- Transcribe, format, input, edit, retrieve, copy, and transmit text, data, and graphics.
- Plan and schedule meetings, conferences, teleconferences, and travel.
- Greet guests and clients in person or by telephone, answer inquiries, and maintain high customer service standards.
- Maintain confidentiality of sensitive information.
- Organize and maintain files and records.
- Prepare correspondence, reports, and presentations.
- Manage office supplies inventory, including ordering and verifying receipt of supplies.
- Assist with projects and contribute to team efforts as needed.
Requirements
- High School Diploma (Associate’s Degree preferred).
- 3+ years of administrative support experience, preferably for executive-level staff.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong computer and internet research skills.
- Excellent interpersonal skills and a proactive, “can-do” attitude.
- Ability to work effectively with all levels of internal management, staff, clients, and vendors.

Physical Demands
- Regularly required to talk or hear.
- Frequently uses hands to finger, handle, or feel objects, tools, or controls.
- Occasionally stands, walks, sits, reaches, climbs, balances, stoops, kneels, crouches, or crawls.
- Must occasionally lift and/or move objects up to 25 pounds.
- Requires close, distance, color, and peripheral vision, as well as the ability to adjust focus.
Travel
Primarily local travel during the business day, with potential for some out-of-area or overnight travel.
