Position Summary

The Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the office. This position serves as a key point of contact for patients, team members, providers, and external partners while assisting with scheduling, communication, record management, and daily office operations.

Essential Duties And Responsibilities

  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Greet patients, visitors, and vendors while providing excellent customer service.
  • Schedule appointments, meetings, and maintain calendars as needed.
  • Prepare, organize, and maintain electronic and paper records.
  • Aid with data entry, filing, scanning, and document management.
  • Draft, proofread, and distribute correspondence, reports, and other communications.
  • Maintain confidentiality of sensitive employee, patient, and company information.
  • Coordinate meetings, prepare agendas, and record meeting notes when required.
  • Absorb onboarding paperwork, training documentation, and other HR-related administrative tasks as assigned.
  • Ensure compliance with company policies and procedures.
  • Perform other duties as assigned.

Qualifications

  • Education and Experience: High school diploma or equivalent required. Associate degree in Business Administration or related field preferred. Minimum of one (1) year of administrative, clerical, customer service, or office support experience preferred.
  • Knowledge, Skills, and Abilities: Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to prioritize tasks and manage multiple responsibilities. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Strong attention to detail and accuracy. Ability to maintain confidentiality and exercise discretion. Professional demeanor and positive attitude. Ability to work independently and as part of a team.

Physical Requirements

  • Ability to sit, stand, walk, and use standard office equipment for extended periods.
  • Ability to occasionally lift and carry up to 20 pounds.

Work Environment

This position works in a professional office or healthcare setting and may require interaction with patients, providers, staff, and visitors throughout the workday.
