About the Role
This Administrative Assistant position is cross-trained in various areas with a primary focus on HR responsibilities. The role ensures compliance with safety work rules, food safety, and quality policies while supporting multiple HR functions and administrative tasks across departments.
Responsibilities
- Assist with administration of various human resources programs and functions, with areas of focus based on department needs.
- Track attendance and issue discipline notices.
- Manage service awards and update job descriptions/postings as needed.
- Support recruitment for non-exempt positions: posting vacancies, coordinating interviews, extending offers, pre-employment processes, orientation, job fairs, school presentations, and facility tours.
- Organize employee meals and events, and lead retention efforts.
- Facilitate new hire and annual benefit enrollments, and address insurance-related questions.
- Ensure company bulletin boards and postings are current.
- Maintain employee e-files and assist with department/plant filing beyond HR.
- Monitor and maintain EBI (I-9) expiration dates and system records.
- Perform general administrative duties (data entry, phone support, photocopying, faxing, filing) for other departments.
- Assist employees as needed and compile, update, and generate reports (e.g., audits).
- Support trainings, presentations, and events (e.g., designing PowerPoint slides, room setup).
- Monitor and maintain office equipment and supplies, including shipping/receiving tasks.
- Participate in committees to provide HR presence and support.
- Maintain a clean, organized, and sanitary work area.
- Report work-related injuries or unsafe conditions immediately.
- Use required safety equipment (e.g., ear plugs, rubber boots, safety glasses, face shields, aprons, bump caps).
- Maintain good personal hygiene and follow SQF principles as specified by the SQF Practitioner.
- Report food safety and quality issues to a supervisor, QA manager, or senior manager.
- Complete internal HACCP training.
- Promote a safe and healthy workplace for all employees.
- Adhere to all safety policies, quality work practices, GMPs, and sanitary conditions to maintain product quality.
- Report conditions or practices that may adversely affect food safety and quality.
- Ensure regulatory compliance at all times.
- Perform other duties as assigned.
Requirements
- High School Diploma or equivalent (required).
- Bachelor’s degree in Human Resources, Business, or Management (preferred).
- Previous HR experience (desired).
- Previous clerical experience (desired).
- Professional English oral and written communication skills (required).
- Bilingual in Spanish (desired).
- Ability to work independently or in a team.
- Proficient in computer programs: Microsoft Word and Excel (required); PowerPoint (desired).
- Strong follow-up, problem-solving, communication, creativity, and interpersonal skills.
- Ability to multi-task, prioritize efficiently, and adapt to changing business demands.
- Highly organized and detail-oriented.
- Professional demeanor, especially when handling confidential personnel matters.
- Current and valid driver’s license (preferred).
- Knowledge of ATS and/or HRIS systems (desired).
