About the Role

The Administrative Assistant provides administrative and operational support to the Senior Vice President of Marketing and the Senior Vice President of Market Access & Clinical Affairs. This role serves as a key partner to leadership teams by coordinating schedules, supporting meetings and events, managing department operations, and facilitating cross-functional collaboration. The ideal candidate is highly organized, proactive, adaptable, and able to manage multiple priorities in a fast-paced environment. The role requires sound judgment, strong communication skills, attention to detail, and the ability to handle sensitive and confidential information with discretion.

Responsibilities

  • Executive and Team Support
    • Manage complex calendars for executive leaders, including scheduling meetings, coordinating priorities, and resolving scheduling conflicts.
    • Coordinate travel arrangements, including itineraries, logistics, and expense reporting.
    • Prepare meeting materials, presentations, agendas, and other business documents as needed.
    • Provide administrative support to leadership teams and department initiatives.
  • Meeting, Event & Training Coordination
    • Plan and coordinate meetings, leadership sessions, and team events.
    • Manage meeting logistics, including venue arrangements, catering, virtual meeting platforms, attendee communications, and meeting materials.
  • Department Operations
    • Process invoices, purchase requests, reimbursement requests, and expense reports in accordance with company policies.
    • Maintain department files, records, distribution lists, and organizational documentation.
  • Administrative Excellence & Continuous Improvement
    • Respond to requests for information and assist with department communications.
    • Identify and implement process improvements that enhance efficiency, organization, and team effectiveness.
    • Maintain confidentiality of sensitive business information.
    • Support special projects and perform other duties as assigned.

Requirements

  • Educational Requirements: Associate degree or equivalent combination of education and experience.
  • Required Experience:
    • 5+ years of progressively responsible administrative support experience.
    • Experience supporting senior leaders and managing competing priorities.
    • Strong proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, and Teams.
    • Excellent organizational, planning, and time management skills.
    • Strong written and verbal communication skills.
    • Demonstrated ability to exercise discretion and maintain confidentiality.
    • Ability to work independently and anticipate business needs in a fast-paced environment.
  • Preferred Experience: Experience with expense management, travel coordination, procurement, and contract workflows.

Pay

Salary range: $51,000—$77,000 USD. The salary for this position will be offered at a level consistent with the experience and qualifications of the candidate. This information reflects the anticipated salary range at the time of posting and may be modified based on factors such as geographic location, work experience, education, and skill level.
