Administrative Assistant
About the role
This position provides timely and effective secretarial support to an office, business unit, department, or other organization, following established procedures and guidelines. The Senior Administrative Assistant performs advanced administrative, operational, and customer support duties requiring independent initiative and judgment, and may apply intermediate mathematical skills. You will support multiple senior leaders in the region.
- Answer telephones, screen calls, and take messages to ensure callers and visitors are attended to promptly, courteously, and accurately.
- Transcribe, type, format, and proofread a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics, and spreadsheet software.
- Coordinate internal and external meetings, including scheduling meeting times, making travel arrangements, managing expenses for attendees, and ensuring meeting amenities are available.
- Manage appointments and schedules for applicable staff.
- Use office equipment such as photocopiers, faxes, and printers.
- Additional responsibilities may include distributing incoming mail, preparing outgoing mail, filing, and maintaining office supplies or other inventory.
Decisions typically focus on methods, tactics, and processes for completing administrative tasks and projects. You will regularly exercise discretion and judgment in prioritizing requests and interpreting procedures, working under limited guidance due to your experience and organizational knowledge.
Requirements
- 5+ years of experience supporting senior leadership.
- Proficient in Microsoft Outlook, Word, and PowerPoint, with experience compiling data and presentations.
- Experience coordinating internal and external meetings, including scheduling, travel arrangements, and expense management.
- Strong attention to detail and capacity to maintain confidentiality.
- Strong organizational skills with the ability to balance multiple initiatives and prioritize workload.
- Must live in the Chicago, IL region.
Preferred Qualifications
- Associate’s or Bachelor’s degree.
- Proficient in Microsoft Excel and Access.
- Previous administrative or related experience.
- Experience with internet research and proofreading/editing.
Work Arrangement
This role is remote/work-at-home, but you must live in the Chicago, IL area with the ability and willingness to travel to the office as needed.
- Work-at-home requirements include a self-provided internet service with a minimum download speed of 25 Mbps and an upload speed of 10 Mbps (wireless, wired cable, or DSL connection suggested). Humana reserves the right to require upgrades if necessary.
- Work from a dedicated space free of ongoing interruptions to protect member PHI/HIPAA information.
- Occasional travel to Humana’s offices for training or meetings may be required.
Pay
The pay range for this full-time (40 hours per week) position is $58,400 - $79,800 per year. Geographic location and individual pay will vary based on demonstrated job-related skills, knowledge, experience, education, and certifications.
