About the role
The primary duty of the Administrative Assistant is to provide administrative support to members of management in the region, direct service providers, or an assigned corporate department. This role may also serve as the region or Corporate Office’s receptionist.
- Serve as Receptionist for the region, communicating with customers, employees, and others to answer questions, disseminate information, and address complaints.
- Open, sort, and distribute incoming correspondence, including faxes and email.
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping.
- Operate and maintain office machines, including photocopiers, scanners, fax machines, voice mail systems, and personal computers.
- Compile, copy, sort, and file records of office activities, business transactions, and other activities.
- Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
- Compute, record, and proofread data and other information, such as records or reports.
- Enter data, track information, and produce reports as assigned.
- Assist the Office Manager or Program Director in preparing agendas and arranging new staff orientation, training, and meetings.
- Operate the information management system (Carelogic) for client records, enter data, and produce reports as requested.
- If assigned to the corporate office, duties may include data entry, report production, filing, assisting the Billing Department with processing and follow-up on unpaid claims, auditing records, setting up meetings and special events, running errands, or other administrative tasks.
- Assist in conducting client chart audits and client, agency, and aftercare surveys as assigned.
Requirements
- High school diploma (minimum requirement).
- Associate’s degree in business or administrative support field preferred.
- At least 1 year of work, intern, or volunteer experience in administrative/clerical work.
