Department Operations and Processes
- Prepare and maintain records, databases, and reports with accuracy and confidentiality.
- Provide clerical support, including data entry, filing, and document preparation.
- Cookordinate meetings, calendars, events, travel, and room reservations; update systems as needed.
- Aid in preparing materials and communications for meetings, presentations, and events.
- Support the creation and distribution of promotional materials for departmental programs.
- Manage office supplies, equipment maintenance, vendor requests, and routine purchases within budget.
- Maintain department internal webpage and assist with public relations materials.
Student/Customer Services
- Greet and assist visitors in person, by phone, and email, providing information and directing inquiries as needed.
- Communicate clearly and courteously to support student success.
- Aid in outreach activities to share college information with internal and external audiences.
Other
- Participate in cross-departmental initiatives and campus events.
- Identify and recommend process enhancements to improve efficiency and service delivery.
Required Qualifications
- High School diploma or equivalent.
- Minimum of three (3) years of office support or related experience.
- Intermediate proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Ability to follow instructions, manage multiple tasks, and meet deadlines independently, seeking guidance only for complex or unclear situations.
- Ability to work effectively with individuals from diverse backgrounds and maintain a respectful, inclusive environment.
Desired Qualifications
- Experience working with computer information systems used for student and employee data and reporting such as Workday.
Department Specific Information
- Administrative Assistant may report to the Lakeshore Campus one day per week.
Work Schedule
- Standard hours are Monday through Friday, 8:30am – 5:00pm, with one late shift per week from 10:30am – 7:00pm and one Saturday per month.
