Administrative Assistant
About the role
The Administrative Assistant will provide administrative support while performing a wide range of administrative activities and tasks. They will ensure these activities are performed in a timely manner and often involve confidential or sensitive information.
Responsibilities
- Prepare proposals, reports, presentations, and schedules for meetings, conferences, and onsite visits.
- Manage travel arrangements for both domestic and international trips.
- Handle complex assignments using independent judgment to facilitate the effective and efficient flow of information.
- Organize and manage multiple assignments simultaneously in a fast-paced environment, maintaining attention to detail and using sound judgment.
- Use advanced features in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, and other relevant software.

Requirements
- Comprehensive knowledge of administrative support and office practices.
- Strong verbal and written communication skills, and ability to interact diplomatically and tactfully with all levels of staff.
- Strong organizational and time management skills, including the ability to prioritize and handle multiple assignments simultaneously.
- Knowledge of Laboratory and Division policies, practices, and procedures, as well as familiarity with Laboratory systems such as AMOS, PARIS, XINK, and XM.

Skills
- Advanced features in editing documents using Microsoft Office Suite (Word, Excel, PowerPoint).
- Arranging and coordinating meetings, workshops, conferences, onsite visits, and managing domestic and international travel.
- Knowledge of Laboratory and Division policies, practices, and procedures.
- Familiarity with Laboratory systems such as AMOS, PARIS, XINK, and XM.

Pay
The expected pay range for this position is $20.78 - $32.41. The selected individual will be placed at the appropriate level (SA2 or SA3) depending on their depth and breadth of relevant knowledge, skills, and experience.
Schedule
This position requires a hybrid schedule, blending on-site and remote work; on-site presence will be required at the Argonne campus in Lemont, Illinois 3-4 days each week.
