About the role

The Administrative Assistant supports provider services areas with a focus on performance, professionalism, and relationship building. This role requires strong communication, presentation development, and meeting management skills, as well as the ability to work effectively with external partners and colleagues at all levels. The position handles highly confidential information and reports directly to the Vice President, Government Programs.

Responsibilities

  • Be present in the Denver, Colorado office 2–3 days per week to greet clients, receive shipments, assist with office/facilities management, gather marketing materials, and prepare mailings.
  • Manage complex calendars, travel, and expense reporting.
  • Set up and coordinate meeting arrangements, including fallback plans for critical meetings.
  • Plan and organize logistics for large in-office and offsite events, including catering.
  • Monitor emails, prioritize urgent requests, and use sound judgment to respond.
  • Answer incoming calls and facilitate requests for information.
  • Prepare presentations, letters, memos, and monthly/quarterly reports using Microsoft Office applications.
  • Lead preparation and tracking of meetings (board, committees, external provider meetings, and health plan JOCs), including occasional early morning or evening sessions 2–3 times per month.
  • Perform varied administrative duties independently, handling highly confidential information with discretion and compliance with HIPAA regulations.
  • Participate in special projects and other duties as assigned.

Requirements

  • High School Diploma/GED; Bachelor’s degree preferred.
  • Three or more years of administrative experience supporting leadership teams, preferably in a healthcare setting.

Skills

  • Advanced proficiency in Microsoft 365 (Outlook, Excel, PowerPoint, Word, Teams, SharePoint).
  • Experience with Microsoft Teams virtual meetings and teleconferences.
  • Strong written and verbal communication skills.
  • Proven project coordination skills.
  • Ability to prioritize, self-direct, and perform detailed tasks with minimal supervision.
  • Ability to handle multiple demands concurrently while organizing, coordinating, and meeting deadlines.
  • Flexibility to attend business meetings with occasional early morning or evening hours.
  • Strong organizational and time management skills.
  • Ability to work in a high-stress environment and maintain effective working relationships.
  • HIPAA-compliant home office setup for remote/hybrid work.

Pay

$22.28–$29.71 hourly, with eligibility for an annual performance bonus (target: 5% based on company and individual performance).
