Administrative Assistant / Admin Clerk

This position is located at the Morale, Welfare and Recreation (MWR) Department at NCBC Gulfport. The purpose of this role is to provide clerical support to the MWR Department.

Responsibilities

  • Prepares and types correspondence using established procedures.
  • Reviews and edits incoming and outgoing correspondence for proper format, conformance with procedural instructions, spelling, grammar, and typographical accuracy.
  • Creates, updates, and maintains accurate records using both hard copy and electronic file systems.
  • Receives telephone calls and visitors; provides referrals to other divisions as appropriate.
  • Handles office mail, including sorting, reading incoming correspondence, and preparing outgoing mail.
  • Makes arrangements for meetings, including space, time, and notifying attendees of the agenda.
  • Assembles background materials, reports, and statistical data for meetings and briefings.
  • Provides minutes or summary reports of meetings.
  • As a Government Credit Card Holder:
    • Researches and purchases items requested in support of the MWR Department.
    • Reconciles credit card transactions monthly and by the deadline.
    • Maintains all "Blanket Purchase Agreement" purchase logs; processes all transactions within 5 days.
    • Submits all documentation within 7 days of merchandise receipt.
    • Processes all vehicle gas card purchases and vehicle transactions; reports mileage on the government vehicle reporting system.
  • Performs other related duties as assigned.

Requirements

  • Must meet Federal Employment suitability requirements and successfully complete a background investigation.
  • Background investigations are conducted using fingerprint identification and completion of background inquiry forms.
  • Must successfully pass the E-Verify employment verification check; any discrepancies must be resolved as a condition of employment.
  • Must go through a Personal Identity Verification (PIV) process requiring two forms of identification from the Form I-9.
  • May be required to pass pre-employment examinations.
  • A valid State driver’s license is required to operate motor vehicles.
  • Must have salary sent to a financial institution of choice by Direct Deposit/Electronic Funds Transfer.
  • Selective Service Registration is required for males born after 12/31/1959.
  • Position is non-critical, sensitive, requiring access to IT II systems and/or access to Personally Identifiable Information (PII). An Access National Agency Check Investigation (ANACI) is required via the SF 86 security form.
  • Required to submit a Financial Disclosure Statement, OGE-450, upon entering the position and annually.

Qualifications

  • One year of specialized experience directly related to the duties described above. Qualifying experience must be equivalent to the next lower level in the normal line of progression.
  • Specialized experience must demonstrate:
    • One year of office experience with knowledge, skills, and abilities to perform the duties outlined.
    • Proficiency in the use of a personal computer and various software programs.
    • Ability to type by touch with speed and accuracy.
    • Effective oral and written communication skills.
    • Ability to pass all training requirements for government credit card use.
  • You will receive credit for all qualifying experience, including volunteer and part-time experience. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., professional, philanthropic, religious, spiritual, community, student, social).
