Administrative Assistant / Admin Clerk
About the role
This position is located at Morale, Welfare and Recreation (MWR) Department at NCBC Gulfport. The purpose of this position is to provide clerical support to the MWR Department.
Responsibilities
- Prepares and types correspondence using established procedures.
- Reviews and edits incoming and outgoing correspondence for proper format, conformance with procedural instructions, spelling, grammar, and typographical accuracy.
- Creates, updates, and maintains accurate records using both hard paper and electronic file systems.
- Receives telephone calls and visitors; provides referrals to other divisions as appropriate.
- Handles office mail, including sorting, reading incoming correspondence, and preparing outgoing mail.
- Makes arrangements for meetings including space, time, and notifies attendees of agenda.
- Assembles background materials, reports, and statistical data pertaining to meetings and briefings.
- Provides minutes or summary reports of meetings.
- As a Government Credit Card Holder: researches and purchases items requested in support of the MWR Department; reconciles credit card transactions monthly and by the deadline; maintains all "Blanket Purchase Agreement" purchase logs; processes all transactions within 5 days; submits all documentation within 7 days of merchandise receipt.
- Processes all vehicle gas card purchases, and all vehicle transactions and mileage reports on the government vehicle reporting system.
- Performs other related duties as assigned.

A qualified candidate must possess one year of specialized experience directly related to the duties described above, equivalent to the next lower level in the normal line of progression. Specialized experience must demonstrate the following:
- One year office experience, with demonstrated knowledge, skills, and abilities to perform the duties outlined above.
- Skilled in the use of a personal computer and various software programs.
- Able to type by touch with speed and accuracy.
- Ability to communicate effectively both orally and in writing.
- Must pass all training requirements for government credit card.
You will receive credit for all qualifying experience, including volunteer and part-time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. All non-government positions on your resume must include complete address and to and from dates. Government positions must include pay plan, series, grade, to and from dates, and address of the agency/organization.
Requirements
- Must meet Federal Employment suitability requirements and successfully complete a background investigation (fingerprint identification and background inquiry forms).
- Must successfully pass the E-Verify employment verification check.
- Must go through a Personal Identity Verification (PIV) process requiring two forms of identification from Form I-9.
- May be required to pass pre-employment examinations.
- A valid State driver's license is required to operate motor vehicles.
- Must have salary sent to a financial institution by Direct Deposit/Electronic Funds Transfer.
- Selective Service Registration is required for males born after 12/31/1959.
- Males must be registered or exempt from Selective Service.
- Selectee must be determined suitable for federal employment and may be required to successfully complete a probationary period.
- Social Security Card is required.
- As of May 7, 2025, the REAL ID act requires visitors to have a REAL ID or passport to access Government Facilities; this is a requirement for employment.
- A favorable background is required; failure to obtain and maintain may result in withdrawal of offer or removal.
- Position is non-critical, sensitive, requiring access to IT II system and/or PII; an access National Agency Check investigation (ANACI) is required via SF-86.
- Required to submit a Financial Disclosure Statement, OGE-450, upon entering and annually.
