About the role

Performs administrative and clerical support in an assigned department. Provides assistance to department managers and staff in administrative areas. This is an entry level administrative role.

Responsibilities

  • Answers phone calls and directs them to appropriate department or person.
  • Greets visitors, ascertains nature of business, provides information or conducts visitors to the appropriate person.
  • Ensures that all office equipment is functional and orders any needed supplies.
  • Maintains the inventory of office supplies. Orders, obtains and distributes office supplies. Keeps supply area appropriately stocked.
  • Assists department managers and staff in handling multiple administrative functions and projects.
  • Copies and distributes staff reports as requested, as well as sorts and distributes mail, faxes, and other office materials as required.
  • Types letters, correspondence, reports and other documents as requested.
  • Assists the office staff as requested with special projects or tasks.
  • Maintains files and records for the office as requested.
  • Arranges meetings, conferences, and travel arrangements as requested.
  • May assist with medical record functions such as: patient admission packets, entering data in computer system, scanning of documents, filing of paperwork, off-site storage, etc.
  • Performs other related duties as directed by supervisor.

Skills

  • Excellent verbal and good written communication skills.
  • Advanced level of multi-tasking and problem-solving skills.
  • Moderate computer skills including MS Office (Word and Excel), Windows Outlook, and Internet.
  • Moderate level of interpersonal skills to interact effectively and professionally with both internal and external customers.
  • Ability to lift 30 pounds.
  • General knowledge of modern office procedures, filing, telephone techniques and office equipment.

Requirements

  • High school diploma or equivalent.
  • Some college course work preferred.
  • Minimum one-year experience in medical industry preferred.
