Administrative Assistant, Accounting
Responsibilities
- Provide comprehensive calendar management for senior executives, anticipating conflicts and coordinating across multiple offices and time zones.
- Serve as the primary point of contact for internal and external stakeholders including corporate teams, ownership, outside auditors, legal counsel, regulatory agencies, and lending partners.
- Manage the distribution of audited financial statements, unaudited monthly and quarterly reports, and all departmental mail and correspondence across office locations.
- Cook up and track regulatory filings and compliance submissions, including Certiorari, RPIE, and Continuing Disclosure Agreement documentation.
- Create, maintain, and manage distribution lists, directories, and departmental trackers using Excel, Smartsheet, or similar tools.
- Process and submit expense reports and timesheets; approve PTO requests as needed.
- Book domestic and international travel including air, ground, and accommodations.
- Support planning and execution of team events, offsites, and training sessions.
- Track department budget and report headline costs to department leadership.
- Prepare presentations including slide creation, printing, and binding materials for meetings.
- Serve as the department's point of contact for IT, onboarding new hires and consultants with equipment setup and technology access.
- Collaborate with the treasury department on check handling, deposits, and distribution.
- Maintain organization charts and assist with special projects as assigned.
Qualifications
- 5+ years of administrative experience supporting senior executives, preferably within an accounting, finance, or real estate environment.
- Strong proficiency in Microsoft Office Suite, Excel, and Smartsheet; familiarity with accounting or ERP software a plus.
- Experience handling confidential financial documents and working within compliance-driven environments.
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills; comfortable interfacing with c-suite executives and external partners.
- Self-starter who takes initiative and can work independently with minimal oversight.
- Experience supporting a hybrid or multi-location team is a plus.
Pay
The anticipated base salary range for this position is listed below. In addition to a competitive base salary, you will be eligible to receive discretionary bonus incentives and a comprehensive benefits package. Anticipated base salary range: $31.25 - $36.06 / hour Actual base salary within the anticipated range will be determined by several components including, but not limited to, the individual's experience, skills, qualifications, and market factors.
