About the role

The Administrative Assistant plays a crucial role in helping leaders and staff throughout PHS and is responsible for performing a wide variety of complex, confidential, administrative and analytical duties. Independent judgment is required to plan, prioritize and organize a diversified workload. This role requires adaptability, flexibility, dependability, and accountability. Some of the work may be self-appointed, requiring a high degree of professional independence, initiative, and self-discipline. Reports to a leader tier 4 or 5.

This is a part-time, non-exempt position based at the Reverend Hugh Cooper Administrative Center.

Responsibilities

  • Performs secretarial, administrative, and general office work, including preparing correspondence, reports, presentations, and other documents
  • Schedules appointments, coordinates meetings and events, and makes travel arrangements
  • Uses excellent customer service skills in interactions with patients, members, employees, and the public
  • May assist with budget and expense processing
  • May maintain policies and manage records
  • May coordinate the work of others
  • Provides project coordination on leadership-level projects and activities
  • Communicates and/or coordinates leader’s instructions to others
  • Responsible for database coordination, including data entry and production of regular and ad-hoc reports
  • Expected to be knowledgeable of department-specific activities and to provide operational support in areas of assignment

Requirements

  • High school diploma or G.E.D.
  • Three to five years of experience in a secretarial position
  • Knowledge and skills in PC applications, Microsoft Office products, record storage and maintenance, and document management

Pay

Pay Range: $17.46 – $28.78
