About the role
Independently handle the administrative support activities of an office.
Responsibilities
- Open, review, sort and distribute incoming mail, correspondence and e-mails.
- Research background information necessary for preparing correspondence and draft responses.
- Review outgoing correspondence for clarity, content and proper grammatical usage.
- Answer telephone and greet visitors to the office, responding to and redirecting all inquiries as appropriate.
- Coordinate information flow within office ensuring uniformity of office policies and procedures and resolve administrative and operational problems.
- Type correspondence, documents and records.
- Maintain file system for office.
- Order office supplies and schedule maintenance and repair of office equipment.
- Schedule meetings and maintain calendar.
- Make travel arrangements and prepare travel vouchers.
Requirements
- One year of permanent service in a Grade 11 or higher administrative support position.
Qualifications
Preference will be given to those candidates that can demonstrate:
- Familiarity with Division organizational structure, policies and procedures.
- Excellent interpersonal skills.
- Ability to work independently following established guidelines.
- Expertise and skills using computer software such as MS Word, Excel and Outlook.
Minimum qualifications must be met by the closing date of the posting.
