Office Administration
- Greets Finance Department internal and external guests in a professional, friendly and helpful manner.
- Ensures the guest is properly taken care of and is very satisfied with the department’s service.
- Provides general support to the Finance Department and Enterprise Controller & Financial Compliance Officer.
- Affords various tasks including meeting requests, routing paperwork, phone messages, filing and preparing memos.
- Captures and maintains files of appropriate reports, records or other information relevant to the operation of the department.
- This includes maintaining department keys.
- Prepares all incoming cash receipts for deposit and coordinates cash disbursements.
- Affords assistance to the Collections function by logging all returned checks, quarterly statements and certified letters.
- Reconciles and replenishes other departments’ petty cash accounts.
- Captures and maintains department supplies.
- Performs various routine clerical functions.
- Captures and coordinates all Mailroom activities; including mailboxes, sorting daily mail and postage as needed.
Group Billing
- Affords assistance to the Group Billing Coordinator with the preparation of prompt, accurate and professional invoices.
- Works with sales’ and operations’ personnel to resolve billing issues and make the necessary adjustments.
- Gathers and provides the necessary supporting documentation (i.e. hotel folios and receipts) required by the group.
- Works with sales representatives to coordinate guest deposits and final payments ensuring the method of payment (i.e. credit card) is current and valid.
- Captures and coordinates payment execution with the front desk personnel.
- Affords assistance in the collections of past due accounts.
- Works with guest and operations team to resolve issues.
- Provides prompt and courteous service when answering guest emails and phone calls; forwarding questions to the appropriate departments for further servicing, while following departmental procedure.
- Uses LMS and other systems and reports to be able to research guest inquiries and give accurate responses to questions.
