About the role
The Administrative Aide provides comprehensive administrative support to the Administrative Judge for District #2, overseeing administrative operations across Dorchester, Somerset, Wicomico, and Worcester County District Court locations.
Responsibilities
- Performs supervisory functions such as delegation of duties, training staff, disciplinary actions, and approving/denying timesheets and absence requests in CONNECT.
- Reviews and prioritizes all incoming correspondence and coordinates responses.
- Frequently interacts with high-ranking officials.
- Compiles data, conducts research, and drafts reports.
- May lead and/or supervise other support positions.
- Schedules hearings for violation of probation, sentencing, remands from Circuit Court, sub curia cases, modifications of sentence and final dispositions.
- Assists with mental health competency docket processing.
- Prepares orders and memos at the Judge's request.
- Contacts various agencies to issue and recall warrants, Writs of Habeas Corpus; and issues releases as instructed by the judge.
- Interacts with stakeholders and justice partners to obtain and process information at the Judge's request.
- Fills in, when needed, in other court locations within the county to provide secretarial support.
- Any other duties as assigned.
Requirements
- Education: High school diploma (or GED equivalent).
- Experience: Five (5) years of performing administrative or secretarial work in an Administrative, Executive, or Senior Management work environment.
- Knowledge: Legal terminology and court procedures; general office practices, procedures, and equipment; basic English and arithmetic; judiciary policies, procedures, and forms; Judiciary Human Resources policies and procedures.
- Skills: Managing priorities to meet critical deadlines while multitasking; interpersonal communication and relations; organization and time management; usage of standard office equipment, computer equipment, and computer applications; typing on personal computer; using Microsoft Office products; problem solving, prioritizing, scheduling, and decision making; reading, comprehension, proofreading, and editing; customer service and handling problems tactfully and patiently; accuracy and attention to detail; ability to work within time constraints, meet fixed deadlines, and demonstrate good organizational skills; interpreting, applying, and following a variety of complex written or oral instructions; composing routine and complex business correspondence; developing, revising, establishing, or implementing office procedures and practices; receiving telephone calls and visitors and arranging for appointments and interviews; maintaining records, schedules, expense accounts, and office supplies; preparing statistical and numerical reports; performing basic arithmetical calculations and computations accurately; maintaining confidentiality; communicating clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing; supervising lower-level secretarial or clerical employees, if applicable.
- Physical Requirements: Sedentary work involving sitting most of the time.
- Equipment, Machinery And Tools: Personal computer, scanner, printer, copy machine, telephone, fax machine.
- Software And Computer Skills: MDEC - Odyssey File & Serve and Navigator, Adobe, Microsoft Office, Outlook, Zoom, Connect, One Drive.
