Administrative Accounting Coordinator

Key Responsibilities

  • Receive, review, and process vendor invoices for accuracy and completeness.
  • Perform three-way matching of purchase orders, receiving documents, and invoices when applicable.
  • Cook with vendors and internal departments to resolve invoice discrepancies and payment inquiries.
  • Maintain organized electronic and paper filing systems for invoices, purchase orders, and accounting records.
  • Enter invoice and vendor information into the accounting/ERP system.
  • Support the Accounts Payable process by preparing documentation and maintaining payment records.
  • Aid with data entry, document preparation, filing, and general administrative tasks.
  • Answer phones, respond to emails, and provide administrative support to the accounting and operations teams.
  • Schedule meetings, manage office correspondence, and assist with special projects as needed.
  • Ensure records are accurate, organized, and maintained in accordance with company procedures.

Qualifications

  • 1+ years of administrative, accounting, accounts payable, or office support experience.
  • Experience processing invoices or supporting accounts payable functions preferred.
  • Proficiency in Microsoft Office, including Excel, Outlook, and Word.
  • Experience with accounting or ERP software is a plus.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication and customer service skills.
  • Ability to prioritize multiple tasks and work independently in a fast-paced environment.
  • Associate degree or equivalent work experience preferred.
