Key Responsibilities
- Receive, review, and process vendor invoices for accuracy and completeness.
- Perform three-way matching of purchase orders, receiving documents, and invoices when applicable.
- Cook with vendors and internal departments to resolve invoice discrepancies and payment inquiries.
- Maintain organized electronic and paper filing systems for invoices, purchase orders, and accounting records.
- Enter invoice and vendor information into the accounting/ERP system.
- Support the Accounts Payable process by preparing documentation and maintaining payment records.
- Aid with data entry, document preparation, filing, and general administrative tasks.
- Answer phones, respond to emails, and provide administrative support to the accounting and operations teams.
- Schedule meetings, manage office correspondence, and assist with special projects as needed.
- Ensure records are accurate, organized, and maintained in accordance with company procedures.
Qualifications
- 1+ years of administrative, accounting, accounts payable, or office support experience.
- Experience processing invoices or supporting accounts payable functions preferred.
- Proficiency in Microsoft Office, including Excel, Outlook, and Word.
- Experience with accounting or ERP software is a plus.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication and customer service skills.
- Ability to prioritize multiple tasks and work independently in a fast-paced environment.
- Associate degree or equivalent work experience preferred.
