Accounting Coordinator/Administrative Coordinator
Our client, a leading dairy manufacturing company located in northeast Austin, is seeking an Administrative Coordinator to support critical back-office operations.
About the role
This individual will assist with data entry, system maintenance, invoice processing, collections support, and pricing initiatives while ensuring data accuracy across multiple systems. The role requires strong attention to detail, technical aptitude, and the ability to work independently while supporting multiple business functions. This is a collaborative, fast-paced, team-oriented environment that values reliability and accountability. This position is a 3-month contract to hire, fully onsite in northeast Austin.
Responsibilities
- Assist with customer pricing maintenance, system uploads, discounts, and promotional pricing updates
- Maintain customer master records and enter new customer setups into company systems
- Review invoices and perform three-way matching to ensure accuracy and compliance
- Verify accounting codes and assist with invoice processing activities
- Issue vendor payments as approved by management
- Support collections activities and cash application functions as needed
- Research invoices and obtain proof of delivery documentation when necessary
- Manage document storage, retention processes, and file security procedures
- Assist with data imports, exports, and pricing-related administrative projects
- Perform additional administrative and back-office support duties as assigned
Requirements
- Minimum 3 years of administrative, accounting support, or related back-office experience
- High School Diploma required; Associate's degree preferred
- Self-starter with demonstrated reliability and strong follow-through
- Basic understanding of accounting practices, AP/AR, or bookkeeping processes
- Advanced Microsoft Excel skills including formulas, pivot tables, and data management
- Strong attention to detail with excellent organizational skills
- Tech savvy with the ability to learn and navigate business systems and reporting tools
- Understanding of SQL concepts and terminology, even if hands-on SQL experience is limited
- Excellent written and verbal communication skills
- Ability to work onsite five days per week in northeast Austin and collaborate effectively within a team environment
Schedule
Monday through Friday, fully onsite in northeast Austin.
