Purpose and Mission

Under the direct supervision of the HR Business Partner – Corporate Functions, the Office Administrator provides high-level administrative and operational support to senior leaders, managers, and employees. This role combines traditional office administration with executive-level support, ensuring seamless day-to-day operations, effective communication, and a professional office environment. The position requires strong organizational, communication, and problem-solving skills, along with the ability to manage multiple priorities with discretion and efficiency.

Key Activities and Responsibilities

  • Provide proactive administrative support to senior leaders, including calendar management, meeting prioritization, and coordination of executive schedules.
  • Arrange complex travel logistics (flights, hotels, ground transportation) and prepare detailed itineraries.
  • Prepare and format executive-level presentations, reports, and correspondence.
  • Ensure smooth daily office operations and coordinate administrative activities.
  • Plan and execute on-site and off-site meetings and events.
  • Manage office supplies, vendors, and procurement processes.
  • Cook up shipping, receiving, and distribution.
  • Maintain organized records, contact lists, and directories.
  • Draft and distribute emails, memos, and communications.
  • Act as a point of contact for employees, clients, and visitors.
  • Aid in preparing reports and presentations.
  • Support special projects and process improvement initiatives.
  • Support employee engagement activities and office events.

Skills

  • Advanced proficiency in Microsoft Office Suite
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills

  • Ability to handle confidential information with discretion

  • Experience supporting leadership meetings and strategic events

Previous Experience

  • 5+ years of experience in administrative or executive assistant roles
  • Experience supporting senior leaders or executives

Qualifications and Education

  • Associate degree required; Bachelor’s degree preferred
