About the Role
Responsible for providing comprehensive administrative support to Executive Level Officer(s), including scheduling, travel arrangements, meeting preparation, report compilations, and special projects. Maintains confidential files and records, handles private correspondence, and represents CommunityCare’s brand and image through professional communication and interpersonal skills.
Responsibilities
- Schedules, coordinates, and organizes meetings for Executive Level Officer(s).
- Transcribes and prepares correspondence, memorandums, reports, meeting minutes, and audiovisual presentations using Microsoft Word and graphics software/equipment.
- Organizes, compiles, distributes, and maintains confidential information, materials, and reports for management review.
- Receives, screens, and directs telephone calls for Executive Level Officer(s).
- Coordinates all travel arrangements for company personnel.
- Performs additional duties such as maintaining department office supplies, training and relieving the main switchboard, assisting committees in planning employee activities, and distributing materials.
- Represents CommunityCare’s brand and image in all interactions.
Requirements
- Proficiency in personal computers and Microsoft Office, particularly Word, graphics, and scheduling software.
- Excellent oral and written communication skills, including the ability to take accurate meeting minutes.
- Ability to establish and maintain effective working relationships with individuals at all levels of the company, including external executives and customers.
- Successful completion of Health Care Sanctions and Department of Insurance background checks.
- Fluency in English (written and verbal).
Qualifications
- High School diploma required; college degree or equivalent experience preferred.
- Minimum of five years of related clerical/office administration experience, with at least four years supporting an Executive Level Officer preferred.
- Strong organizational skills with the ability to prioritize multiple tasks seamlessly and maintain excellent attention to detail.
- Ability to interact professionally and discreetly with multiple levels of management while maintaining confidentiality.
- Project management skills preferred.
