Admin Asst I – DC Maintenance
About the role
We are seeking a highly organized and detail-oriented Administrative Assistant to oversee inventory systems, vendor relationships, and facility operations. This role plays a critical part in ensuring the smooth flow of goods, maintaining accurate records, and supporting cross-departmental coordination to keep the facility running efficiently.
Responsibilities
- Oversee inventory systems to ensure accurate tracking and management of products.
- Perform regular inventory audits and reconcile physical counts with system data.
- Collaborate with suppliers and logistics teams to track orders and ensure timely deliveries.
- Optimize storage methods to improve efficiency and reduce waste.
- Investigate inventory shortages and discrepancies to maintain supply chain integrity.
- Create and maintain vendor relationships, including HVAC, plumbing, and equipment service providers.
- Coordinate across all departments to support building maintenance and ensure uninterrupted facility operations.
- Track and follow up on purchase orders to ensure timely vendor payments.
- Maintain monthly tool audits for the maintenance team to ensure accountability and readiness.
- Store all building-related documents securely and in compliance with OSHA guidelines.
- Track and report cost savings on all purchased items to support budget optimization.
- Maintain vendor contracts and track warranty status on all applicable items.
- Support facility operations by ensuring compliance with safety standards and managing administrative processes.
- Maintain accurate budgets and ensure availability of office equipment and supplies.
- Set up new vendors and employees into necessary systems.
Requirements
- Proven experience in inventory management, operations coordination, or a related field.
- Strong organizational, analytical, and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Proficiency in inventory software and Microsoft Office Suite.
- Ability to manage multiple priorities and work collaboratively across departments.
- Familiarity with OSHA documentation standards and vendor contract management is a plus.

Pay
This position has a starting pay rate of $18.00 per hour. Actual starting pay is determined by a number of factors, including relevant skills, qualifications, and experience.
Schedule
Monday–Friday: 8:00 AM–4:30 PM (40 hours)
