Admin Asst and Catering Coord
About the role
Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, preparing reports or providing information to visitors and callers.
Essential Functions:
- Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheets, word processing, database management, and other applications.
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
- Greet visitors, handle their inquiries, and direct them to the appropriate persons according to their needs.
- Open, read, route, and distribute incoming mail and other material.
- Schedule and confirm appointments, conferences and meetings for clients, customers, or supervisors.
- Maintain scheduling and event calendars.
- Attend department meetings/conferences, take minutes and electronically file and disperse of meeting notes to the appropriate supervisors for review.
- Maintain paper and electronic filing systems for records, correspondence, and other material.
- Locate and attach appropriate files to incoming correspondence requiring replies.
- Manage projects as assigned.
- Order and dispense of office supplies.
- Conduct searches to find needed information.
- Collect and initiate disbursement of funds from cash accounts, and keep records of collections and disbursements.
- Coordinate conferences and meetings.
- Arrange conferences, meetings, and travel reservations for office personnel.
- Operate electronic mail systems and coordinate the flow of information, internally and with other organizations.
- Assist in answering catering calls and booking events in CaterEase.
- Create and print weekly catering sheets and deliver to proper kitchens as needed.
- Participates in additional duties as assigned by the Supervisor, aligned with qualifications and can be reasonably expected to be completed with minimal orientation.

Skills and Abilities:
- Education: High School Diploma or GED
- Experience: One to two years of related experience in an office setting
- Computer Skills: Word processing, spreadsheets, publishing, graphics, email, calendars
