Job Summary

The Accounts Receivable Clerk supports the accounting department in maintaining accurate financial records, processing transactions, and performing various clerical duties related to accounts payable, accounts receivable, payroll, and general ledger management. This role ensures efficient and compliant financial operations.

Duties/Responsibilities

  • Process vendor invoices and ensure accurate coding to appropriate expense accounts.
  • Review and verify payments for accuracy and proper authorization.
  • Absorb and process checks or electronic payments.
  • Reconcile vendor statements and resolve discrepancies.
  • Process customer payments and ensure accurate application to accounts.
  • Monitor overdue accounts and send follow-up reminders for outstanding balances.
  • Prepare and issue customer invoices as needed.
  • Absorb and assist in resolving billing inquiries and discrepancies.
  • Absorb and assist in preparing and maintaining the general ledger with accurate journal entries.
  • Help reconcile bank statements, credit card statements, and other financial records.
  • Prepare reports for financial statements and assist with month-end/year-end closing processes.
  • Maintain organized filing systems for financial records, invoices, receipts, and other documents.
  • Enter financial data into accounting software or spreadsheets, ensuring accuracy and completeness.
  • Address inquiries from customers, vendors, and other departments regarding billing, payments, and other accounting matters.
  • Build and maintain positive working relationships with vendors and clients.
  • Absorb and assist in resolving issues during internal and external audits by providing necessary documentation and records.
  • Absorb and ensure adherence to company policies, accounting procedures, and regulatory requirements.

Education and Experience

  • A high school diploma required.
  • An associate’s degree in accounting, finance, or a related field preferred.
  • Prior experience in accounting or administrative roles.
  • Proficiency in NetSuite accounting software and Microsoft Office Suite preferred.
  • Strong attention to detail and accuracy in data entry and financial reporting.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
