Responsibilities
- Manage end-to-end invoice processing for a high weekly volume across several companies and related entities, ensuring timely and accurate payment handling.
- Oversee core accounts payable activities, including invoice coding, payment preparation, ACH transactions, and check run coordination.
- Contribute to weekly cash reporting by maintaining and updating Excel-based schedules and summaries.
- Complete bank reconciliations for a large number of accounts and investigate discrepancies to support accurate financial records.
- Provide accounting assistance through journal entry preparation and other routine general ledger support tasks.
- Apply job cost allocations and coding standards to invoices in alignment with project and entity requirements.
- Assist with construction billing administration, including documentation review and invoice support.
- Track and process lien waiver documentation while supporting accounting activities connected to real estate assets and financial statement review.
Requirements
- Prior experience in accounts payable with additional exposure to general accounting responsibilities.
- Solid understanding of invoice coding, account coding, ACH processing, and check run procedures.
- Background in accounting is required, with the ability to work accurately across multiple entities and priorities.
- Proficiency in Excel, including core spreadsheet functions and lookup capabilities.
- Experience in real estate, property, or construction-related accounting environments is strongly preferred.
- Strong organizational skills, attention to detail, and the ability to operate effectively in a small team setting.
- Comfortable working on-site on a permanent basis in Santa Monica, California.
Qualifications
- Qualified candidates should have a bachelor's degree in accounting, finance, or a related field.
- Minimum of 2 years of relevant experience in accounts payable or similar role.
- Knowledge of Generally Accepted Accounting Principles (GAAP).
- Ability to handle multiple tasks simultaneously and meet deadlines.
