This is a hybrid role with travel to our office in Watertown 2-3 days/week.

About the role

The Accounts Payable Specialist serves as a key member of the Finance team, responsible for the accurate and timely processing of accounts payable transactions, employee expenses, credit card activity, and financial reporting support. This role ensures compliance with organizational policies and accounting standards while maintaining strong relationships with internal stakeholders and external vendors.

Responsibilities

  • Understand generally accepted accounting principles (GAAP) and audit reporting requirements.
  • Perform data entry of accounts payable into the computerized financial system and generate payments.
  • Match vendor invoices with purchase orders and receiving information in the computerized financial system.
  • Prepare accounts payable uploads for select invoices.
  • Process select group home invoices and submit for payment.
  • Match check copies of invoices and check requests.
  • Prepare accounts payable checks for mailing and distribution.
  • Respond to vendor inquiries regarding payment of invoices.
  • Maintain paid invoice files.
  • Prepare, analyze, and monitor credit card transaction aging reports, conducting follow-up on outstanding charges to ensure timely resolution and accurate account reconciliation.
  • Process requests for new credit cards and changes in limits.
  • Respond to inquiries regarding credit cards.
  • Monitor payments made on the Accounts Payable Visa cards.
  • Process monthly Visa credit card purchases.
  • Prepare account reconciliations, ad-hoc reports, and other documents that support the organization's financial position.
  • Timely and accurately record journal entries by compiling source data and analyzing business activities.
  • Assist Accounts Payable Manager in completing general ledger account analysis for assigned accounts.
  • Assist in preparing and gathering information needed for the annual audit and cost reports.

Requirements

  • Associate’s degree in finance or similar degree.
  • Two years of relevant experience in accounting, finance, or similar roles.
  • Working knowledge of computer systems and PC Applications including Microsoft Office with strong Excel skills preferred.
