Accounts Payable Manager
Role
We're seeking an Accounts Payable Manager to join our growing Finance team. This role will own the end-to-end AP function, ensuring timely and accurate processing of vendor payments, strong internal controls, and a best-in-class vendor experience. You'll work cross-functionally with Accounting, FP&A, Legal, and business stakeholders to scale our AP operations as Whatnot grows globally.
About the role
This role is ideal for a finance professional who is execution-driven, process-oriented, and excited about building scalable systems in a fast-paced startup environment. You will lead the day-to-day AP operations while managing a team and driving process improvements, system optimization, and policy compliance.
Responsibilities
- Own the full accounts payable cycle — from purchase order and invoice receipt through approval, payment, and reconciliation.
- Team Leadership: Manage and mentor a small team of AP associates. You’ll provide guidance, prioritization support, and performance feedback.
- Purchase Policy Compliance: Enforce Whatnot's purchase policy, ensuring all vendor spend is properly authorized via Zip, contracts are executed via Ironclad, and documentation standards are met. Partner with Finance and Legal to address compliance gaps.
- Payment Processing & Controls: Oversee payment runs (ACH, wire, check) across US and international entities, ensuring proper segregation of duties and approval controls are in place. Identify and mitigate fraud risk in payment workflows.
- Month-End Close Support: Own AP close activities including accruals, vendor statement reconciliations, and aged payables review. Ensure completeness and accuracy of AP balances across all entities for month-end reporting.
- Systems & Process Improvement: Optimize AP workflows in NetSuite and Zip, identifying automation opportunities to reduce manual effort and improve accuracy. Lead or contribute to system implementations or upgrades as the company scales.
- Global AP Operations: Support AP processes across US and international entities (UK, Ireland, Poland, Germany), including multi-currency payments, VAT considerations, and compliance with local payment practices.
- Audit & Compliance Readiness: Maintain audit-ready AP documentation, support external auditors with AP-related requests, and contribute to the development of internal controls aligned with SOX or equivalent frameworks.
- Cross-Functional Collaboration: Partner with FP&A on cash flow forecasting, with Legal on contract and vendor onboarding requirements, and with business stakeholders to ensure spend is appropriately budgeted and coded.
Requirements
- 5+ years of relevant experience in accounts payable or accounting roles, including at least 1 year managing teams or leading an AP function.
- Bachelor's degree in Accounting, Finance, or a related field (CPA a plus but not required).
- Strong proficiency in NetSuite (required) and procurement/AP tools such as Zip, Coupa, or similar.
- Experience with multi-entity, multi-currency AP operations; international AP exposure a strong plus.
- Deep understanding of AP internal controls, payment fraud prevention, and segregation of duties.
- Exceptional attention to detail, organizational skills, and ability to manage competing priorities and deadlines.
- Strong communication skills and can work effectively with vendors, cross-functional teams, and senior stakeholders.

Compensation Range
$140K - $155K
