Accounting & Administrative Coordinator (Hospitality – Restaurant/Bar)

Position Summary

We’re seeking a detail-oriented and proactive Accounting & Administrative Coordinator with experience in the restaurant and bar industry. This blended role supports day-to-day financial operations, administrative workflows, and system management across the business.

Key Responsibilities

  • Manage daily sales reconciliation and ensure accuracy between POS (Toast) and accounting systems

  • Process accounts payable and receivable, including vendor payments and invoice tracking

  • Maintain and support bookkeeping in QuickBooks Online (QBO)

  • Auxiliary with financial reporting, budgeting, and cost control

  • Monitor cash handling procedures and investigate discrepancies

  • Work closely with ownership/management on financial insights and operational improvements

Inventory & Cost Management

  • Oversee inventory tracking using systems like MarginEdge

  • Reconcile inventory counts, food/beverage costs, and variances

  • Collaborate with kitchen/bar teams to maintain accurate product costing

  • Identify opportunities for waste reduction and margin improvement

Administrative & Operations Support

  • Maintain organized records, documents, and compliance files

  • Support payroll coordination and HR administrative tasks (onboarding paperwork, tracking, etc.)

  • Interface with vendors, service providers, and internal teams

  • Auxiliary with operational reporting and KPI tracking

Systems & Technology Management

  • Administer and troubleshoot POS (Toast) and related third party integrations

  • Maintain and optimize workflows across accounting, inventory, and event systems

  • Serve as the go-to resource for resolving technical/system issues

  • Recommend and implement process improvements leveraging technology

Event & Marketing Support

  • Manage or assist with event coordination using tools like SpotHopper

  • Support event tracking, bookings, and reporting

  • Cook up with marketing and operations for promotions and special events

Qualifications

  • 2+ years of experience in restaurant/bar or hospitality operations (required)

  • Hands-on experience with:

    • POS systems such as Toast
    • Inventory platforms like MarginEdge
    • Accounting software (QuickBooks Online preferred)
    • Event tools such as SpotHopper (or similar)
  • Strong understanding of hospitality financial workflows (sales, COGS, inventory, labor)

  • Proficient in Excel/Google Sheets and reporting tools
