Account Coordinator
About the role
As an Account Coordinator, you will be the backbone of our daily account management operations, ensuring everything runs smoothly for our clients and our team. This role supports the account management team in the day-to-day management of clients' local marketing and advertising business activity. We are looking for someone who doesn’t just check tasks off a list but truly cares about the work, owns responsibilities from start to finish, and takes real accountability.
This is a fast-paced environment where priorities can shift quickly. If you are highly observant, naturally solution-oriented, and eager to learn, this role offers an incredible opportunity to grow, add value, and build your career within our full-service agency team.
We are a Los Angeles-based team with a primarily remote work model, though in-person office attendance may be discretionary as needed. Candidates must currently live in the Los Angeles or surrounding vicinity or plan to relocate by the start date.
Responsibilities
- Campaign & Creative Support
- Open job orders, submit change orders, and support the Account Team in creative campaign development as directed by the Manager.
- Traffic creative assets to media vendors (Broadcast, Digital, OOH) to ensure campaigns launch accurately and on time, following appropriate processes and protocols.
- Build monthly restaurant guides and schematics.
- Assist in the creative development of merchandising elements and submit digital menu board elements.
- Client & Meeting Logistics
- Coordinate client meetings, including venue setup, communication protocols, preparing materials, and handling day-of logistics as directed by the Manager.
- Manage documentation, including client status invitations, agendas, official meeting minutes, and conference reports, following standard protocols for client approval.
- Manage the official client email inbox, draft scheduled communications, and coordinate details across internal departments.
- Develop and distribute monthly recap emails to clients showcasing recent agency work.
- Administrative and Operational Support
- Submit weekly invoices for budget tracking.
- Maintain up-to-date documentation, such as client distribution lists and attendance sheets.
- Conduct competitive market research as directed.
- Teamwork & Local Activation
- Support the team through changing scope and priorities.
- Collaborate across teams (Media, Partnership, Brand Communication, and Events) to support local, in-market event activations as needed.
- Travel locally for in-person client meetings and event execution as needed.
Qualifications
- Bachelor’s degree in Marketing, Advertising, or a related field.
- Prior internship or relevant agency/marketing experience is a plus.
- Strong organizational and time-management skills.
Skills
- Ownership Mindset: You take pride in your work, see projects through from initiation to completion, and hold yourself accountable to deadlines.
- Resourceful Problem-Solver: You are observant, proactive, and bring thoughtful, forward-thinking solutions to the management team rather than just pointing out issues.
- Eager Learner: You recognize you have a lot to learn, absorb feedback well, and view mistakes as opportunities to improve and grow into working with increasingly less direct supervision.
- Strong Communicator: You have excellent interpersonal skills and can confidently and professionally connect with clients, vendors, and internal teams.
- Adaptable Team Player: You know how to motivate yourself and others, stay organized when handling multiple tasks, and maintain a high level of attention to detail even when workloads fluctuate.
