Academic Advisor - Undergraduate Advising and Student Affairs
USC's Marshall School of Business is seeking an Academic Advisor to join the Office of Undergraduate Advising and Student Affairs. This office supports the education and development of undergraduate students through academic advisement, internal transfer admissions, new student orientation, scholarships, honors, awards, and student organization support. The team provides advising and support to over 4,300 undergraduate majors and 1,400 minors, operating on a hybrid work schedule.
About the role
Academic Advisors serve as students' primary point of contact throughout their undergraduate experience, offering academic planning, policy guidance, and holistic advising that addresses academic, personal, and professional development needs. Advisors manage individual caseloads, conduct proactive outreach to students facing academic challenges, connect students with campus resources, develop success plans, monitor degree progress, and intervene early to ensure timely graduation. The role also involves administering internal transfer processes, minor admissions, emphasis declarations, specialized advising for joint-degree programs, and coordinating new student orientation.
Responsibilities
- Provide academic counseling for undergraduate students, including advising on curriculum, course and degree requirements, transfer credit evaluation, and graduation counseling and clearance.
- Monitor student progress, maintain academic records, and assist with petition applications.
- Advise students individually and in groups, and meet with parents, faculty, and campus partners to facilitate problem resolution.
- Evaluate student problems (academic, administrative, or personal) and refer students to appropriate support services.
- Liaise with other offices to resolve student issues and interface with faculty, administrators, and students regarding policies and academic progress.
- Maintain up-to-date knowledge of policies, procedures, and regulations related to registration, transfer credit, degree requirements, petitions, and other student services.
- Participate in developing and implementing program policies and procedures, such as grading policies, academic progress, mandatory advisement, and admissions for internal transfers, emphases, and minors.
- Assess targeted student or group needs and recommend programs or services; assist in designing and delivering student programs and special events.
- Plan and coordinate student events and co-curricular programs, including commencement, new student welcome, orientation, academic information sessions, student support programs, student organizations, scholarships, and award ceremonies.
- Interface with faculty and staff to exchange information and enlist support for program services.
- Assist in planning and administering special programs, such as faculty advisor programs, peer tutorial or mentor groups, student organizations, and honors programs.
- Provide leadership, guidance, and supervision to student workers, volunteers, and/or graduate assistants, helping them develop skills through planning and coordination of services.
- Perform other related duties as assigned.
Qualifications
Minimum Education: Bachelor's degree
Additional Education Requirements: Combined experience/education as substitute for minimum education
Minimum Experience: 1 year
Minimum Skills: Student program or services experience
Preferred Qualifications
- Master’s degree in student affairs, student development, counseling, higher education, or a related field.
- 2+ years of experience providing academic advisement to undergraduate students.
- 2+ years of experience with increasing responsibilities working with undergraduate students in a higher education setting.
- Strong communication skills (interpersonal, written, verbal, presentation) to work with diverse constituents, including students, families, faculty, and staff.
- Demonstrated ability to manage multiple programs/services and responsibilities simultaneously.
- Demonstrated ability to work collaboratively to meet student needs and department priorities.
- Demonstrated ability to handle sensitive and confidential information within FERPA and University guidelines.
- Demonstrated ability to be flexible and adaptable in the face of changing priorities and fluctuating workloads.
- Demonstrated experience with office management communication software and tools, and proficiency with Microsoft Office.
Pay
The hourly rate range for this position is $29.30 - $37.87.
