What You'll Do
- Establish the contractor legal framework: engage and manage the legal review needed to create independent contractor consent forms and deal memos, then own that paperwork going forward.
- Secure studio insurance coverage: put in place rental gear coverage, liability coverage across all studio client shoots, coverage for the studio arm itself, location rental coverage, and any other exposure that needs protecting.
- Set up accounting and tax processes: build out the accounting and tax processes the studio will operate on, in partnership with our accounting team.
- Build the budget process: design the budget workflow and reporting so studio leadership has clear visibility into the overall operating budget and financial picture.
- Automate invoice approval: build a workflow where an incoming vendor or freelancer invoice automatically generates a comparison against budget, making approval quick and simple, then routes the approved invoice to accounting for processing.
- Integrate QuickBooks: set up the links that make contractor and employee tax filing straightforward for freelance and contracted hires, built with an eye toward converting existing freelancers to full-time in future.
- Stand up the studio card: establish a studio company card that routes all charges to a dedicated studio category in QuickBooks.
Skills and Qualifications
- Comfortable procuring and managing production insurance: rental gear, general liability, entity coverage, location coverage, and Certificates of Insurance (COIs).
- Experience drafting contractor consent forms, deal memos, and release paperwork, and comfortable scoping and managing that engagement yourself.
- Working knowledge of finance and accounting workflow setup, including QuickBooks, expense categorization, and contractor and employee tax filing (1099 for US-based crew, W-8BEN for international).
- Track record of building budget processes and financial reporting that leadership can act on, not just per-production cost tracking.
- Comfortable designing repeatable processes and automations rather than handling everything manually. Familiarity with tools like ClickUp is a plus.
- Exceptional organizational and problem-solving skills, with the judgment to identify gaps and close them without being asked.
- Strong understanding of YouTube and digital content formats preferred.
